Issue an invoice

    You can issue an invoice to any email address. You do not need to check if the customer has an Encyro account or not - you issue the invoice the same way.

    Ensure you’ve enabled invoicing in your Encyro account. If you haven’t, follow these instructions: Enable invoicing.

    The minimum required information to send an invoice is the customer’s email address and one line item.

    1. Click New invoice in the left menu. (On mobile devices, click the three lines towards the top left, then click New invoice.)
    2. Specify the customer that will be paying this invoice.
      1. Enter their email address.
      2. Optionally, fill in their name.
      3. To add additional information such as their phone number, business name, and address, click More customer info and fill in this information.
        • To add custom fields such as fax number, click Add custom field, enter the field name and value, then click Add.
        • To add a shipping address, turn off the same as shipping address toggle under Billing Address and then fill the customer’s shipping address in.
    3. Specify the products and/or services you’re billing the customer for. For every item:
      1. Click Add line item.
      2. Enter the name of the product. As you type, you will be shown all products you’ve used on previous invoices, if any. You may click one of the suggestions, or type a new product name.
      3. Enter the price for the product. If you used a suggestion above, this will be auto-filled.
      4. Specify the quantity for this item. Defaults to 1.
      5. You may issue the invoice now by clicking OK and then Send, or continue adding details such as subject, due date, and discounts/fees/taxes.
      6. If the item has different discounts or taxes from other items on this invoice, you may customize discount and tax settings. By default, all items are eligible for discounts and taxes. To adjust this, toggle the Taxable or Discountable switches as needed. You can apply specific item-level discounts/taxes by clicking Add item tax or Add item discount.
      7. Click OK.
    4. Optional details:
      • Specify when this invoice is due. By default, invoices are due 7 days from the day they are created.
      • Add a subject. Scroll down to Invoice subject and add a subject for the invoice.
      • Customize credit card fee settings. You may change whether you want to pass on credit card fees to the customer. Ensure you have reviewed state laws and card network rules, and turned on Convenience Fees for your account. (Instructions: Passing on Card Fees to Customers)
      • Advanced options: Scroll down and click “More options, fees, taxes, discounts, CC recipients.” Under this section, you may customize:
        • Bottom message: This is short text that appears at the bottom of the invoice, such as “Thank you for your business.”
        • CC recipients: Use this to specify additional people that can view the invoice, such as the customer’s Accounts Payable (AP) department.
        • Invoice theme: Select a design theme for the invoie. It defaults to the invoice design theme in your Settings but you may override it here.
        • Header message: This is informational text related to the invoice, shown above the line items.
        • Fees, taxes, discounts: These apply to the whole invoice (as opposed to a single item). See how they are calculated: How we calculate invoice-level discounts, fees, and taxes.
        • Private note: Write some text about the invoice that only you will see (shown when you click the invoice in your account).
        • Allowed payment methods: Specify the types of payment you’re willing to accept for this invoice. Credit card must be allowed if Google Pay is allowed.

    To finalize the invoice, click Send or Get link (use Get Link if you’d rather notify the customer about the invoice yourself instead of having Encyro email them directly).

    The newly created invoice will appear in your Encyro account. The customer (and any CC recipients) will be able to pay the invoice without needing to create an Encyro account.

    If you are not ready to finalize the invoice, click Save Draft at the bottom or the minimize icon near the top.

    Note:

    • The invoice cannot be modified after clicking either Send or Get link.
    • If you click Get link, make sure to copy the link shown.
    • You may copy the invoice link later by clicking on the invoice in your account, then clicking Copy under Invoice link.

    Having the customer pay in person

    You can display a QR code that the customer can use to pay the invoice in-person.

    Steps for you:

    1. Find the invoice in your Encyro account and click on it.
    2. Click Display QR Code. The invoice QR code will be displayed on your device.

    Steps for customer:

    1. They open the camera app on their phone.
    2. They point their camera at the the QR code displayed on your device.
    3. A banner that says encyro.com appears. The customer taps it.
    4. They click Pay now, enter their payment details, then click Pay.
